Job Summary

Advanced Roofing is looking for a dedicated Customer Service Office Administrator for our Jupiter Location! The ideal candidate has excellent customer service skills and is genuinely excited to help our customers! You will serve as the main business contact for an assigned group of customers in a fast-paced environment. You will also be responsible for attending to customers and employee requests and assist the HR and Accounting departments as needed. As the Customer Service Office Administrator, will take initiative to lead the department in a positive manner. You prioritize daily tasks and take charge to meet tight deadlines. This will ensure your success in this multi-faceted role.

Key Responsibilities

  • Responsible for processing all incoming client service, maintenance, and warranty calls in pleasant and courteous manner
  • Assigning service tickets to technicians based on schedule and geographical location
  • Schedule and coordinate service and access to job site locations as needed
  • Ensure all information and documentation is properly captured by technicians before processing service tickets into billings
  • Assisting in ordering/shipment of materials and equipment as needed
  • Ensure customer/consultant data is current and accurate in CRM
  • Enter and submit credit adjustments for service invoices
  • Assist employees with any HR related inquiries and redirect them to the HR team as needed
  • Assist HR team in any HR related inquiries (included but not limited to: employee communications, scanning of employee documentation, following up with compliance needs)
  • Conduct new hire orientation and start-up/checklist items. Cellular phones – Set up, distribution of acceptance forms, etc.
  • Performs collection calls on past due billings and other accounting functions as needed
  • Process timesheet for the department and coordinate process with Payroll administrator
  • Adhere to policies and procedures of the company
  • Replenish office supplies as needed
  • Perform additional work as directed by manager including administrative activities and clerical tasks

Skills, Experience, and Knowledge Required 

Education

  • High School Diploma required
  • Bachelor’s Degree Preferred

Experience

  • 5 years in a customer service related position

Skills & Requirements

  • Minimum 18 years of age
  • Successful Pre-Employment Drug test
  • Successful Background Check
  • Bilingual Spanish/English a plus
  • Advanced customer service skills
  • Proficient knowledge in computer skills: MS Office – Word, Excel, Outlook
  • Ability to multi-task and stay organized
